5a. Will the transition to the new memberships to be collected by Card payment be straightforward?

Hopefully for members it will be straightforward. What we will be doing behind the scenes is less than straighfoward.

We are still to working on new memberships and our annual price review takes place in February every year. 

Those price changes are normally implemented in August, those will be implemented instead upon going live on the new system.

We will be looking to harmonise the various legacy memberships and newer memberships so that all members share have equivalent pricing, packages and member rights as each other. All governed by the same terms and conditions.

As what we have now built up over decades is messy.

Digital enrolment for most members
We will supply members with a link to create their new Delcom account, via a digital membership form.
- This can be done in person on paper if critical and by appointment or the queues would be horrendous.

When we announce our Go Live, we will ensure the option is there for members less digitally confident. 

Waves
We aim to invite members to transition in waves, not all at once, so we may invite Community members first, the Concessions, then Students then Staff. 

So that we can offer any support you may need,

Payment
When it comes to purchasing the new system membership it is more complex for us but hopefully not for you.

As we have an odd mix of legacy memberships from 2010-2017, 2017-2021 and the current membership options available only since 2021.

As members are all at different stages of their membership year and differing packages we will

  1. Create a giftcard specific to the amount owed to each member.
  2. Supply that to the member with the digital enrolment.
  3. The Gift card would then be redeemed off your new membership purchase to keep the price net neutral in the initial year.

Giftcards are new and welcome function of the new platform!

For an annual example, if you paid £400 for a years membership on 15th November 6 months ago and we went live on 15th April. You would be issued a £200 Giftcard to recognise what has already been paid towards the remaining 6 months of your current membership. 

For a monthly paying member, if you paid £40 on the 1st April and we went live on 15th April, you'd recieve a £20 giftcard towards your first every purchase.


Ongoing renewal
If following our review in February any members would effectivily have to 'upgrade' their membership package - the gift card awarded will reflect the any initial price difference until your next renewal date. So during the intial membership period you will not be paying more, but might gain additional activities or member benefits.

For example, we still offer renewals of a Classes only membership (from 2015) but only to those members that have continued to renew that. We're expecting to scrap that membership, and move those members onto an all inclusive package, but gift card the price difference until their next anniverary payment date.

Then when members come to renew fully a subscription on the new system they will have to choose from the available options best suit them going forward at the price point.
